Getting started

What exactly do I get when I sign up?

Your own private site at your own web address, for example yourcompany.roosterdispatch.com, with your logo and colours on it, your own database, and an owner login for you. From there you add your staff, your job types and your rates, and start booking work.

How long does setup take?

The site itself is built automatically and is usually ready within a few minutes of paying. Getting your own details in (staff, job types, pay rates) is the part that takes a little thought, and most teams are working in it the same day.

Do I have to move my existing data in first?

No. You can start booking new work immediately and add clients as you go. If you have a large client list you want imported, get in touch and we will talk through it. Bulk import is not self-service yet.

Is there a contract or a setup fee?

No setup fee, and no long-term contract. It is a monthly subscription you can cancel at any time. Full terms are in our Terms of Service.

Can I try it before I pay?

Get in touch and we will walk you through it. We would rather show you the parts that matter to your business than hand you an empty site and hope.

Texting and payments

Do I need my own Twilio account to send texts?

Yes, for text messages. Your site works fully without texting. You just send reminders the way you do today until it is connected.

The reason is not technical: in the US, business text messaging has to be registered to the business that sends it. Your own account means your texts go out under your number and your registration, your costs are billed to you at cost, and your delivery is not affected by anyone else's sending habits. Registration usually takes a few days, and we will point you through it.

Do I need my own Stripe account to get paid?

Only when you want clients to pay by card. Without it your site still creates and numbers invoices, keeps track of what is owed, and lets you record payment however you collect it now.

With your own Stripe account connected, client card payments go directly to your bank account. The money never passes through us.

Who pays the Twilio and Stripe fees?

You do, directly to them, at their normal rates. We do not mark them up or take a cut. Those accounts are yours, in your name.

Where are my Twilio and Stripe keys stored?

Encrypted inside your own site, with a key unique to your site. They are not shared with other customers, and they are not visible to us in readable form.

Your data

Is my client information mixed in with other companies?

No, and this is a deliberate design choice rather than a promise about carefulness. Your site runs on its own with its own separate database. Your clients, addresses, photos and payment history are not stored in a shared table alongside another organizing company's.

Who can see my data?

You and the staff you give accounts to. Our technical team can reach the system in order to run and support it. That is unavoidable for hosted software, and anyone who claims otherwise is not being straight with you. Your credentials for Twilio and Stripe are stored encrypted with a key specific to your site.

Is it backed up?

Yes, automatically, every day, with the ability to restore to a point in time. You do not have to do anything.

How long do you keep my data after I stop paying?

If your subscription lapses, your site pauses but everything stays put. Resubscribe and it is all there. We keep it that way for a long time on purpose, because people come back.

After that, so we are not holding your clients' information forever:

  • After 1 year with no active subscription, we remove uploaded files: job photos and signed documents.
  • After 2 years, we delete the database itself.

Both are permanent. Ask us for a copy of your data before then and we will send it, at any point, for any reason. If you resubscribe inside those windows, nothing is lost.

Can I get my data out?

Yes. Ask us and we will provide a copy of your database. A self-service export button is on the list but is not built yet, so today it is a request to us rather than a click.

Running your account

What happens if I cancel?

Your site pauses and shows your team a notice instead of the app, and automatic texts to your clients stop straight away. Nothing is deleted. If you subscribe again it turns straight back on with everything where you left it.

What if a payment fails?

Your card issuer is retried automatically for a while. If it keeps failing, the site pauses the same way a cancellation does. Your data is untouched, and fixing the card brings it straight back.

Can I use my own domain name instead of a subdomain?

Not yet. Every site today is yourcompany.roosterdispatch.com. Custom domains are planned, so tell us if it matters to you, because that moves it up the list.

How many staff accounts can I have?

As many as you need. We do not charge per user, so a busy season should not cost you more in software.

Does it work on phones?

Yes. It runs in the browser, so crews can clock in and check their schedule on a phone without installing anything. There is no separate app to download or keep updated.

Who is behind this?

RoosterDispatch grew out of software built for a working home-organizing company, solving the real scheduling, invoicing and payroll problems of an actual crew rather than a guess at them. We are new, we are small, and you can reach a person who knows the product by email.
